The Role:

The Groups Reservation Coordinator is responsible for handling group reservations, ensuring a smooth and efficient booking process for all group inquiries. This role involves managing communications with group clients, coordinating with various departments within the organization. The Groups Reservation Coordinator serves as the primary contact for group reservations, providing exceptional customer service, accurate record-keeping, and effective communication to meet the needs of clients and the business.

Job Duties:

  • Build group blocks in Property Management Systems.
  • Action group reservation inquiries via email.
  • Update and manage the group reservations, ensuring all details (rooming lists, billing, comments, special requests are recorded accurately.
  • Collaborate with other departments such as Sales & Events, Front Desk, Accounting to ensure the smooth execution of group bookings.
  • Serve as the main point of contact for all group bookings, maintaining excellent customer service.
  • Provide timely and accurate responses to client queries, requests, changes to the reservation.
  • Maintain accurate and up-to-date group reservation records, contracts, and communications.
  • Prepare reports for management on group reservation trends, occupancy levels from group bookings.

Location: This will be a Hybride role between the Calgary office and commuting to be on-site 2-3 days a week.

Employment Experience and Educational Requirements:

  • High school diploma or equivalent required. A degree in Hospitality Management, Business Administration, or a related field is a plus.
  • Minimum 1-2 years of experience in reservations, hotel bookings, or a related role within the hospitality industry.
  • Knowledge of Opera, Chroum Cloud, Marriott Systems, Marsha, CI/TY, is an asset.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Problem-solving abilities and attention to detail.
  • Ability to multitask and handle a high-volume workload.
  • Customer-focused with a service-oriented attitude.
