Job Summary

The Mechanical Services Coordinator primary responsibility is to coordinate and oversee office administrative duties in support of day-to-day operations of Revelstoke Mountain Resort maintenance team. This will include the provision of varied office duties, maintaining shop inventory, preparing payables and overseeing OH&S program in the maintenance shop.

Essential Job Functions

Inventory Maintenance

  • Assist department heads with ordering parts
  • Maintain appropriate inventory levels of shop consumables
  • Create Purchase Orders and monitor their approvals
  • Oversee order deliveries and assist with receiving
  • Verify accuracy of deliveries, initiate and follow up disputes with Suppliers in case of discrepancies
  • Oversee warranty returns

Accounts

  • Prepare employee expense claims for payment
  • Communicating w/ vendors regarding payment status and invoice questions

Data Management

  • Assist department heads with data base management maintenance software

Occupational Health & Safety

  • Oversee OH&S program in the maintenance shop.
  • Assist department heads with reporting and maintaining safety records.
  • Maintain WHIMS program
  • General Administrative Functions
  • Coordinate maintenance shop activities and staff scheduling
  • Provide overall office and administrative support as required.
  • Develop and recommend efficient administrative

Required Qualifications and Abilities

MINIMUM REQUIREMENTS

  • Completion of post-secondary courses in accounting and/or Office Administration, or an appropriate and equivalent combination of education, experience and training.
  • Knowledge of bookkeeping and general office procedures.
  • Proficient with Microsoft Office 365 and other applications.
  • Knowledge and/or experience with QuickBooks would be a definite asset.

  • Ability to maintain a high level of accuracy when entering and preparing financial documents.
  • High level of accuracy and analytical skills with attention to detail.
  • Ability to meet deadlines and to work autonomously and as part of a team.
  • Strong verbal and written communication skills.
  • Problem solving and analytical skills.
  • Ability to work unsupervised to complete assigned tasks.
  • Position requires the ability to work in a maintenance shop environment.
