POSITION SUMMARY:

The Event Manager is responsible for all aspects of planning and executing events at Rogers Arena. The primary focus will be the execution of the production and operational aspects of arena events including live concerts, sporting events, family events, Canucks, and Warriors games. Other events may include film shoots, meetings, press conferences, corporate and special events, and supporting the strategic planning and creative development of all rental events.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Develop planning tools such as production schedules, budget tracking, timelines, event specs, etc.
  • Establish, maintain, and enhance positive client relationships with event producers, concert promoters, and touring personnel, as well as all team members and internal departments (Engineering, IT, Fan Experience, Ticket Centre, Construction, Membership, Staff Services, etc.)
  • Develop and actively manage partner relationships such as Riggit, Impark, City of Vancouver, sub-contractors, etc. to ensure best available resources
  • Work with ticketing administrator, concert promoters and Ticketmaster in the initial set up of the event preparation of on-sale, provide input on venue configuration and identify production requirements; work with CAD operator in preparing event floor plans
  • Work with concert promoters and/or production managers to thoroughly advance the event and ensure all needs are met
  • On event day, be the on-site venue representative to oversee all aspects of load-in, event set-up, show, and load-out, and ensure all event needs are met while adhering to venue policies and procedures (i.e., health and safety, alcohol management, labour management, customer service)
  • Prepare event costings
  • Develop event documentation required for each event including event details, work orders
  • Liaise with security and guest service manager on staff deployments and duty manager on staff briefing notes
  • Participate in staff briefings and respond to guest, staff, and emergency situations as required
  • Liaise with Ticketmaster on all event ticketing matters leading up to the event including seat releases and relocations
  • Work with Finance Department to prepare event financial billings for settlements
  • Review all event reports and respond as required; document event information through ISS (In Stadium Solutions incident management tracking system) and maintain records
  • Review and participate in the negotiation of vendor and supplier contracts
  • Prepare post-event summaries

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Post-secondary degree or diploma in a related discipline such as event management, sport management, business administration, etc.
  • Three years of experience in large live event production, services, and management
  • Experience working in a similar venue (i.e., an arena)
  • Strong knowledge of arena infrastructures
  • Productivity, accountability for results and team effectiveness
  • Ability to handle multiple and diverse projects and tasks
  • Self-motivated and articulate; excellent written and verbal communication skills
  • Proficient in MS Office, Google, ISS related databases, and event booking
  • Ability to make decisions under pressure, tight deadlines or financial constraints
  • Ability to work in a team environment
  • Ability to work an event-based schedule (i.e., evenings/late nights and weekends)
  • Experience with production and technical personnel is an asset
  • Experience in managing part-time staff in a unionized environment is an asset
