Compensation Range

Job Summary

The Programming Manager supports the artistic programming decision-making process, and plans, manages the implementation of a wide variety of large-scale public performances, including multiple festivals, in support of the strategic goals of the Chan Centre. This includes evaluating complex event requirements, developing event implementation strategies based on multiple and complex stakeholder needs, negotiation of artist contracts (Personal Service Agreements), as well as on-theĀ­ ground event management and logistics for multiple concert series across three performance auditoria (the Chan Centre, Telus Theatre and Royal Bank Cinema).

This position is responsible for making decisions with financial consequences and supplying and relaying correct and adequate information to curatorial staff, artist managers, UBC legal counsel, funding organizations, arts professionals and faculty/staff members.

This position works in a service-oriented industry with a variety of artists, artist managers and arts professionals. Incumbent must have exceptional customer service skills, highly efficient verbal and written communication, a professional demeanour, and a working knowledge of all the complexities of the Chan Centre, Telus Theatre and Royal Bank Cinema and their services, as well as the various components of the performing arts. During the performing arts season, workload is fast-paced and often heavy with frequent deadlines. Flexibility with hours and some evening and weekend work is required.


Organizational Status
Reports directly to the Director of the Chan Centre. Works with Chan Curators, the Chan Artistic Advisory Committee, and Chan Centre management and staff. Works with a variety of international and local arts professionals, faculty, staff, students, donors, and the public.

Work Performed

  • Plans, executes, and manages the organization and implementation of 15-20 large-scale events annually, including multiple festivals.

  • Evaluates the requirements of a range of complex, large-scale performance events and festivals and, in consultation with Curator, negotiates and develops artists' contracts, fees, and offers. Negotiates prices for applicable supplies and services.

  • Oversees complex schedule of multiple simultaneous events, working collaboratively with various stakeholders to manage event execution.

  • Supports Curator in the development of Chan Centre programming, actively contributing ideas and conducting research as needed.

  • Manages services for performing artists. Plans and manages high level programming and administrative details associated with artistic presentations. Resolves complex administrative issues as they arise.

  • Facilitates seamless flow of complex event-related information and logistics between all relevant parties, including professional organizations, staff, artists and artist management to ensure smooth execution of all event aspects such as hospitality, technical requirements, and front of house operations.

  • Develops and updates time-sensitive budget and financial reporting for each event. Reports on financial implications of shows as details related to programming administration are confirmed.

  • Identifies prospective grant opportunities through thorough research of funding sources, eligibility criteria, and application deadlines. Writes and applies for relevant grants.

  • Identifies and maintains partnerships with academic units throughout the university.

  • Identifies, researches and provides information for grant applications, donor and sponsor proposals. Works with the Management team to development-related budgets, reports and statistics and to prepare final reports as required by granting organizations.

  • Evaluates statistical, historical and financial information that has an impact on decision-making.

  • Negotiates synchronization rights

  • Researches the artistic activities and market exposure of performing artists being considered for future presentation seasons.

  • On event day, oversees programming event staff to address issues related to legal obligations, revenue projections, budget constraints, and the artistic integrity of performances, ensuring that decisions are made to protect both the budget and the organization's reputation, as required. Prepares and manages and annual budgets for Chan Centre presentations and co-presentations, including revenue and expenses. Analyzes programming-related financial information to inform Chan Centre budgeting decisions.

  • Performs other duties as required.


Consequence of Error/Judgement
Errors made in planning, budgeting or managing events could result in serious negative reputational, financial and public relations impacts. Incorrect interpretation or communication of University positions, policies and procedures or lack of tact, diplomacy or sensitivity in dealing with artists, artist managers, and community partners could result in substantial negative impacts.

Supervision Received
Works autonomously within the scope of approved plans and budgets. Substantial personal initiative is expected and a strong degree of independent decision-making and sound judgment is required. Reports to the Director.

Supervision Given
Manages and supervises show advancing staff, and work learn students. Supervises contract workers on show days.

Minimum Qualifications
Two year diploma in Hotel Management, Hospitality, Tourism, or Event Management. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • Bachelors Degree in a performing arts discipline or business preferred.

  • Proven experience in event facility management, financial management and performing arts administration and working in a professional capacity with performing artists, performing arts managers, producers and promoters.

  • Exceptional interpersonal, organizational, sales initiative and customer service skills as well as effective oral and written communication skills.

  • A passion for, proven experience and in-depth knowledge of the performing arts including performing artists, repertoire, artists' needs and artist management, agents, promoters and presenters' requirements.

  • Creativity, demonstrated ability to function effectively within the performing arts environment.

  • In-depth knowledge of financial aspects of the performing arts including event settlements, ticket audits, programming forecasting and budgeting.

  • Proven ability to work in a complex and demanding environment with a high level of attention to detail.

  • Working knowledge of financial aspects of the performing arts including event settlements, programming implementation, grant applications, and programming budgeting.

  • Experience working in an academic environment preferred.

  • A strong understanding of the marketing mix components for presenting shows.

  • Substantial ability to establish and maintain effective working relationships with a variety of internal and external stakeholders.

  • Demonstrated experience working with location managers, conference organizers, events coordinators, and university faculty and staff.

  • Experience working in a unionized environment.

  • Ability to manage, train, motive, discipline and evaluate staff and students.

  • Ability to exercise tact and discretion.

  • Familiarity with Word and Excel, Outlook, electronic mail, and Internet applications.
