We are seeking a highly organized and detail-oriented Facilities Management Coordinator to support our Facilities Maintenance and Construction & Renovation teams. This role is crucial for ensuring the smooth operation of our facilities by effectively coordinating tasks, managing schedules, and maintaining comprehensive documentation. The ideal candidate will excel in organizing workflows, supporting team members, and facilitating communication with trades and suppliers to enhance the overall efficiency and effectiveness of our facility management operations.
Responsibilities include but are not limited to:
  • Manage/oversee property management system (i.e. HIPPO); triage work orders and support Director/VP with weekly scheduling and task assignments
  • Create & manage Purchase Orders for FM & coordinate deliveries/receivables
  • Coordinate communications with trades
  • Manage master project schedule/calendar (update based on weekly meetings)
  • Assist in development of Preventative Maintenance Program & Calendar
  • Manage "standards" documentation and product lists (internal specifications)
  • Manage materials library/supply inventory
  • Internal documentation & coordination (meeting minutes etc.)
  • Manage supplier list

Qualifications:
  • Knowledge of building systems (HVAC, etc.)
  • Project Management/Process exposure or experience is considered an asset.
  • Proven experience in a similar role.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Drafting skills are an asset.
