Job Profile

There is an opening for the above position within the Recreation & Culture Division, Community Development Department available immediately. The Special Events Advisor is responsible for assisting and coordinating all City events and acts as the primary liaison to all clients, suppliers, and stakeholders involved in the events planning and/or facilitating. Reporting to the Manager of Special Events, the following duties will apply:

What you will be doing

• Acts as the main administrator of Special Events Applications and ensures policy is followed by all applicants.
• Prepares and receives forms from Special Event Applicants.
• Assisting in maintaining the Special Events inventory and organization of assets.
• Acts as an event liaison to all events that take place on city property; consulting, teaching, guiding and informing of all permits, licenses and requirements.
• Works with event organizers (internal & external) to ensure that all safety measures, requirements, licenses and permits are completed and returned prior to approval of any event on city property.
• Liaise with all city departments, outside agencies and private businesses to ensure all requirements are met for public events.
• Schedule volunteers and PT staff, providing all necessary information for them to complete their event shift.
• Work closely with Parks Supervisors to organize the delivery of the city equipment, proper event placement and physical requirements for events.
• Provide event evaluations of Affiliate & direct events, listing successes and concerns, making recommendations for the following year.
• Co-Chair of SEAT (Special Events Advisory Team) - collaborating with internal staff and external agencies including Police, Fire, Public Health, AGCO, Transportation, By-Law, Building, Parks etc.
• Aids in organizing and executing City led events.
• Determine which requirements an event needs based on the Special Events Application
• Troubleshoots with event organizers to ensure all aspects of safety are covered - escalate any potential concerns.
• Ability to compile and write presentation materials for volunteer training.
• Understand event related legislation, policies, and procedures.
• Read and understand reports from the Council, memos, minutes, agenda, presentations, promotional material, correspondence procedural information for volunteer committees, and staff.
• Assists in updating Special Events Manual.
• Assists Recreation Coordinator(s).
• Supports the Manager of Special Events.

Education

Two-year College Diploma in Recreation and Leisure.

Experience and Knowledge

  • A minimum of 1 to 2 years' experience in event planning, sponsorship development, partnership enhancement, and working with volunteers/volunteer committees.

  • Valid Class G Driver's License- Operating a city vehicle and utility van.

  • Standard First Aid, Cardiopulmonary Resuscitation, Automated External Defibrillator certification

  • Working for Heights Training is considered an asset.

  • Proficient in Microsoft Office Suite, with sap systems, Active NET, Google Chrome, Publisher, Later.com, Instagram, Twitter

  • Excellent communication, customer service and interpersonal skills

  • Ability to work flexible hours - evenings, weekends, statutory holidays.

  • Ability to work outside in various weather conditions for extended periods.

  • Excellent organizational and time management skills.

  • Ability to multitask and manage multiple projects simultaneously.

  • Attention to detail and problem-solving abilities.

Your compensation

This position is within Grade 6 of the inside workers union Salary Schedule and has an annual salary range of $66,248 to $70,434

Enrolment in Ontario Municipal Employees Retirement System (OMERS).

Hours of work

The current hours of work are in accordance with the Inside Worker's Collective Agreement and may be scheduled between Monday to Sunday, seven (7) hours per day, thirty-five (35) hours per week, from 6:00 am to 11:00 pm as established per the Collective Agreement.
