The Role:
As the Event Production Coordinator, you will be instrumental in supporting the planning, execution, and reporting of Second Harvest's annual events. This role requires someone who thrives in a dynamic, fast-paced environment and is excited about working on both internal and external events that engage our community. You'll work closely with multiple departments to ensure seamless event coordination and create content that resonates on a national scale.
Your Impact:
Event Coordination (60%)
- Support the Experiential Production Manager in planning and executing Second Harvest's flagship events, including the Truck Pull Challenge, Food Rescue Awards, Annual General Meeting, National Volunteering Events and Staff Conference Week.
- Coordinate and supervise event volunteers, ensuring they are well-prepared, informed about Second Harvest's mission, and equipped to engage attendees effectively.
- Collaborate with internal stakeholders (Philanthropy, Administration and Volunteer Services) to ensure staff is well briefed ahead of events and that teams are clear on responsibilities, deliverables and timelines.
- Serve as key on-site support staff during event and activation setup, execution and tear-down, ensuring smooth delivery and an exceptional attendee experience.
- Maintain an up-to-date inventory of in-house supplies and equipment for events, activations and other production needs.
- Monitor internal systems for event material requests organization wide and complete the full cycle of requests including packing, tracking and unpacking.
- After each event, analyze performance against goals and KPIs, conducting post-event reporting and ROI analysis; use your findings to recommend improvements and implement strategies for greater impact at future events.
- Maintain accurate gift-in-kind donor and vendor records in the Raiser's Edge database.
Content Production (40%)
- Collaborate with the Experiential Production Manager and cross-functional team members to produce engaging content (photo, video, digital assets) for use at events and in broader campaigns.
- Works creatively to support in the development of new and engaging content that showcases Second Harvest's impact in a multitude of ways.
- Support content logistics, including scheduling discovery calls, vendor coordination and bookings, as needed.
- Support with social media content production at events, as needed.
Who You Are:
- Communicator: You have exceptional communication and diplomacy skills, coupled with experience in cross-functional collaboration. You are decisive when necessary and handle high-pressure situations with grace.
- Collaborative: You have a positive, collaborative working style; your past colleagues would call you a "team player." You have highly developed interpersonal skills, including diplomacy and strong negotiation skills.
- Organized: You have excellent project and time management skills; you have an attention to detail, coupled with the ability to multitask.
- Results Oriented & Problem Solver: You are a creative and critical thinker who can generate new ideas and initiatives and solve problems in a fast-paced environment.
- Education and/or experience in Fundraising, Event Coordinator or Content Production is an asset.
- Proven track record in relationship management with demonstrated success coordinating people and/or volunteers an asset.
- Comfortable with demands of on-site event execution (being on feet for long hours, lifting up to 50 lbs, etc.).
- Able to work flexible hours, including some evenings and weekends; able to travel and have a valid Class G driver's license (mileage to and from events is compensated).
