Job Summary

We are currently seeking a highly motivated and organized Coordinator to join the Talent and Learning Centre of Excellence within the UHN People and Culture team.

The Coordinator role is central to the seamless operation of UHN's leadership development programming - encompassing administrative and logistical support, budget management, event planning and scheduling, evaluation and continuous process improvement for programs and processes, and participating in internal meetings and events. The Coordinator will draw on their administrative, communications, events and project management skills to support the design and delivery of leadership programs and projects.

Key Responsibilities

  • Plan and organize the logistics and scheduling of leadership programs and other program-related events, including negotiating and managing facility arrangements for room booking and set-up, working closely with IT and managing technical assistance, organizing catering, and other internal services teams and third party vendors
  • Primary contact for leadership development training inquiries, which includes managing a number of inboxes in accordance with set out service level agreements
  • For relevant leadership programs, produce/manage program pre-work and follow-up materials, such as learning journals, self-reflections, final attendance reports, etc.
  • Support participant intake, registration, and communications for leadership development programs
  • Maintain regular communication with program participants, facilitators and other stakeholders, including providing updates, responding to inquiries, and gathering feedback
  • Track and analyze program metrics and participant progress; prepare reports and presentations for stakeholders
  • Assist in managing the program budgets, including tracking expenses and ensuring cost-effectiveness
  • Contribute to continuous improvement by identifying opportunities for program enhancement and implement changes to improve participant experience and program outcomes
  • Own an assortment of administrative duties, including but not limited to, coordinating and scheduling meetings, managing and maintaining documents and SharePoint sites
  • Special projects and other duties as assigned

Qualifications

  • University Degree or post-graduate certificate in Human Resource Management, Event Management, Marketing or other related discipline.
  • Relevant work experience in project management, event coordination, administrative support. Demonstrated experience in planning and implementation of events and programs.
  • Strong interpersonal skills with a high level of professionalism and accountability. Ability to work well under pressure and use good judgment in assessing and responding to difficult situations.
  • Outstanding customer service skills, and ability to interact with, engage, and build relationships with diverse stakeholders
  • Strong organizational skills - scheduling, planning, coordinating, time management, and attention to detail
  • Excellent verbal, written and multi-media communications skills. Excellent computer skills including Zoom, Teams, MS Word, Excel, Adobe, and PowerPoint
  • Curiosity and interest in HR best practices and trends, contributing to UHN raising the bar on every event and program created.
