The Event Services Administrator will play a key role in supporting event security services, ensuring smooth coordination between internal teams, event stakeholders, and security personnel. This role involves administrative tasks related to managing event security requests, providing quotes, tracking event security plans, and supporting scheduling and equipment management. The ideal candidate will have strong organizational and communication skills, as well as proficiency in event management systems and a keen eye for detail.

What does a Event Service Administrator do?

  • Event Security Service Requests: Process and manage all incoming Event Security Service requests via Google's event management system or other tools. Ensure timely response and accurate tracking of requests from intake through completion.
  • Coordination & Communication: Act as the main point of contact between requesters, event security teams, campus security managers, and other stakeholders. Ensure all parties are kept informed of updates and address inquiries to ensure customer satisfaction.
  • Event Documentation & Tracking: Maintain up-to-date records within the event management system, tracking event details such as times, locations, and security services required. Ensure all information is accurate and aligned with internal procedures.
  • Security Services Planning: Collaborate with stakeholders to develop event security plans, including personnel deployment, access control, and emergency protocols, ensuring compliance with location policies and security standards.
  • Shift Scheduling: Oversee the daily scheduling of security personnel, including emergency adjustments, in compliance with relevant laws and regulations.
  • Equipment Management: Coordinate requests for contractor and Google equipment necessary for event security services, and track, audit, and manage the repair and replacement of security-related equipment.
  • Invoice Management: Ensure accurate and timely invoicing for event security services via the designated event management system.
  • Continuous Improvement: Participate in pre-event meetings, security briefings, and post-event reviews to enhance event security planning and execution.

Qualifications to become an Event Service Administrator

  • Strong organizational and administrative skills, with the ability to manage multiple tasks and prioritize effectively.
  • Exceptional communication skills, both written and verbal, to ensure clear and consistent updates with stakeholders.
  • Strong mathematical aptitude to manage and process billing, quotes, and other financial aspects of event services.
  • Proficient in using event management software, ticketing systems, and internal tools (training will be provided as needed).
  • Ability to work collaboratively in a team environment, interfacing with multiple stakeholders and departments.
  • Attention to detail, ensuring all information is accurate and follows established procedures.
