The Department of Molecular Genetics holds a leadership position in Canada and internationallyas a premier venue for biomedical and life sciences research and education. We have over 100 faculty members. Our dynamic community of over 350 graduate students is engaged in M.Sc. and Ph.D. Program in Molecular Genetics. We offer a professional M.Sc. in Genetic Counseling as well as M.H.Sc. in Medical Genomics. Futhermore, the department provides a rigorous undergraduate specialist and major in Molecular Genetics and Microbiology. Our faculty, fellows, and students are highly acclaimed for pioneering phenomenal advances in some of the most exciting areas of modern science with a profound impact on human health.

As the Undergraduate Program Coordinator, you will be responsible for providing student support on undergraduate programs in the Department of Molecular Genetics. You will serve as the front line and primary liaison for all undergraduate inquiries including supporting Subject Program of Study admissions, enrolment and course curriculum. Your impeccable interpersonal skills and proven ability to maintain/shift focus in accordance with changing priorities will contribute to the overall success of the academic unit.

Your responsibilities will include:

  • Providing program support to both students and internal stakeholders by advising on detailed information on processes, policies, procedures and on program and/or course requirements
  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences, and checking course prerequisites prior to student enrolment
  • Supporting award competitions including collecting and passing on submissions, tracking/monitoring distribution of awards, and preparing award letters
  • Coordinating course timetables and program schedules with stakeholders, and maintaining course information on student information systems
  • Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors and interpreting guidelines to determine the eligibility of TA’s
  • Contributing to the execution of events by determining logistical details and activities and liaising with stakeholders to coordinate space and resource requirementsas well as arranging catering
  • Coordinating examination timetables, handling the delivery of examination question booklets
  • Maintaining information on the department website

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum three years of experience coordinating academic and/or instructional programs, preferably within a university
  • Demonstrated student services experience, including advising students on course requirements, coordinating education programs, examination timetables and ensuring program requirements, guidelines and procedures are adhered to
  • Demonstrated experience in academic program administration, including experience with front line student services and admissions
  • Experience applying student information services; related academic policies and procedures and maintaining information on student information systems (i.e., course information)
  • Experience coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors
  • Demonstrated experience coordinating events (sourcing vendors, monitoring budgets), from concept delivery, coordination of logistical tactics, execution and post-event reconciliation
  • Experience using ROSI/ACORN, University HR Information System (HRIS) or equivalent system
  • High level proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
  • Excellent interpersonal, oral and written communication skills as well as highly developed organizational and time-management skills
  • Exercise good judgment, discretion, and tact and maintains a strict standard of confidentiality
  • Ability to independently prioritize multiple demands and deadlines while managing changing needs


Assets (Nonessential):

  • Experience interpreting CUPE Local 3902 Collective Agreement is considered a strong asset

Pay Scale Group & Hiring Zone:
USW Pay Band 10 -- $70,844. with an annual step progression to a maximum of $90,595. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
