Position title: Intern ASQ Awards

Reports to: Senior Director

Location: Montreal (Hybrid - Office & Remote)

Employment type: Paid Internship Full Time (summer)

Contract Duration: 14 weeks ( to be discussed)

Overall Responsibility

The ASQ Awards Intern will play a key role in coordinating the ASQ Awards, ensuring the smooth execution of logistics and communications related to the event. The intern will collaborate with various internal teams, manage administrative tasks, and liaise with external partners and nominees to support the successful delivery of the awards program.

Key Responsibilities

- Internal Coordination

  • Work closely with internal teams (ASQ Ops, Sales, MarCom, Events)
  • Manage logistical requirements

- External Coordination

  • Oversee trophy orders with supplier and logistics partners
  • Organize shipment of awards and follow up on related invoicing

- Ceremony Planning

  • Contribute to the award distribution strategy and update tracking files
  • Assist in preparing presentations and event running order

- Communications & Winner Engagement

  • Draft and send official communications to award recipients
  • Draft and post communication on Linkedin thread
  • Manage materials for the ceremony, including MC scripts, winner kits, and invitations
  • Coordinate with winning airports to confirm attendance and handle post-event shipments

- Forum and Summit planning

  • Create and update the invitation list
  • Create the speakers invitation letters & ensure their accuracy

- Process Improvement & Special Projects

  • Streamline internal processes for more efficient award management
  • If required, support a potential RFP process for trophies
  • If required, contribute to the refresh of ASQ branding
  • If required, contribute to ASQ communication needs - newsletters & video edition

Qualifications

  • Currently pursuing a degree in management, marketing, logistics, or event planning
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills in English
  • Proficient in the Office Suite (Excel, PowerPoint, etc.)
  • Any other tools proficiency such as Canvas, Monday.com, Linkedin, ClickdDimension, as plus

  • Ability to collaborate with internal and external stakeholders
  • Strong attention to detail and ability to multitask in a fast-paced environment
  • Interest in customer experience and international event coordination
