What will your typical day look like?

The Event Coordinator reports into a Manager on the National Orbis Events & Operations team. You will be responsible for event planning and operational support of the flagship Conference Centre in Montreal, with additional event planning support for Toronto and Vancouver, as well as administrative support.


Accountabilities include:

  • Responsible for end to end in-person, virtual, and hybrid conferences/meetings/special events planning for our flagship conference centres
  • Co-ordination of all logistical aspects of events, in line with Deloitte policies, to include:
    • Venue selection (when applicable)
    • Review and approval of vendor contracts
    • Cost projection and budget analysis for each event
    • Online registration/event management
    • Rooming lists
    • Meeting room set-ups
    • IT and audio-visual requirements
    • Catering arrangements/menu selection
    • On-site registration for large scale events
    • Co-ordination of on-site simultaneous interpretation (when applicable)
    • Ground transportation arrangements (when applicable)
    • Supplier and vendor management
    • Advise and collaborate with clients in sharing industry best practices
    • Onsite support for all events
  • Operational support of Montreal flagship office, with a national lens, including:
    • Support of creation and management of operational documents
    • Process development
    • Hospitality vendor oversight and participation in KPI program
    • Temporarily support the transition of the same hospitality vendor to the Vancouver and Montreal offices, including alcohol management process
  • Support process improvement projects, with Managers and Senior Manager
  • Identify areas of improvement or opportunities for efficiencies in current processes and support operational duties for experience and operations as required
  • Administrative support to ensure smooth operations of Orbis Events & Operations Team
  • Be a strong team player, contributing to a positive and collaborative team environment
  • Additional tasks as required.

About the team

The National Orbis Events & Operations Team, within CBS, is responsible for delivering distinctly Deloitte experiences and operational excellence for our people, our clients, and community within our flagship offices (Montreal, Toronto, Vancouver). Team members are expected to be strategic thinkers and team players, ensuring collaboration among all operating and enabling areas to create a cohesive ecosystem with hospitality management as a large area of focus.

You are someone who has expertise in the following areas:

  • Minimum of 1-3 years' experience in an event coordination role or operations
  • Experience with event management software (Cvent) and other event technology solutions (Zoom, MS Teams, SpotMe)
  • Advanced computer skills in MS Word, Excel & Outlook
  • Excellent verbal and written communication skills
  • Ability to work independently, under time pressure and deal effectively under stress
  • Accuracy and attention to detail
  • Ability to multi-task
  • Excellent interpersonal, time management and client service skills
  • Flexibility to work overtime
  • Able to work onsite
  • Due to the nature of the role having interactions with National & Global clients, bilingualism in French and English is required for this position

Total Rewards


The salary range for this position is $47,000 - $78,000, and individuals may be eligible to participate in our bonus program.
