About the role

As an Events Advisor, you will be responsible for delivering first class corporate events, strategies and marketing initiatives. This includes, but is not limited to, general event planning, hotel identification, offsite gatherings, hospitality, social event management, marketing and communication of events, and transportation logistics. You will be working in collaboration with multiple stakeholders across the business to develop and execute events that create value for our partners and employees. This role requires you to work with regional and corporate teams, as well as external vendors, and brokers across Canada.

This position is a full-time permanent role based in our Toronto, ON, Montreal, QC or Calgary, AB office.

What you'll do here:

  • Independently plan, organize, and execute a diverse range of events, including high-profile conferences, corporate meetings, and social gatherings, ensuring alignment with organizational goals.

  • Build and maintain strong relationships with key internal and external stakeholders, including clients, vendors, sponsors, and partners, to ensure seamless event execution

  • Project support for corporate events, including but not limited to seminars, conferences, meetings, trade shows, product launches, retreats, travel and appreciation events - note events are delivered either in-person, online (virtually) or a hybrid mix of both

  • Develop, manage, and optimize event budgets, ensuring all activities are cost-effective and deliver exceptional value and high-quality experiences.

  • Develop and implement communication strategies to effectively promote events and marketing initiatives, as well as elevate brand presence and engage target audiences through innovative and impactful messaging.

  • Develop and oversee all pre-event logistical aspects, including project plans, venue selection, contract negotiations, catering arrangements, and transportation logistics, ensuring every detail is meticulously planned.

  • Provide on-site leadership and support during events, proactively addressing any issues that arise and ensuring all elements are executed flawlessly for a seamless attendee experience.

  • Conduct thorough post-event evaluations, gathering detailed feedback, measuring success metrics, and identifying areas for improvement to enhance future event strategies and outcomes.

  • Ensure projects are delivered within scope, budget and agreed-upon timelines

  • Support other marketing initiatives as needed, including broker marketing, sponsorship opportunities, campaigns, and more.

  • Collaborate with other Events Advisors on the team to identify and share best practices

What you bring to the table:

  • Bachelor's degree or college designation in Marketing & Communications or Events

  • 3 to 5 years experience specialized in event planning and coordination

  • Proven experience assisting in planning and managing large event budgets using effective negotiation skills

  • A growth mindset with previous demonstration of resilience, flexibility, and open-mindedness

  • Detail-oriented with exceptional organization, interpersonal and communication skills (verbal and written) and the ability to collaborate and navigate cross-functionally, interacting effectively with internal and external stakeholders

  • Experience supporting team members to lift and inspire the working environment of the greater team

  • Experience leading virtual and hybrid events with high proficiency navigating digital meeting & event platforms e.g. Zoom, Cvent, Microsoft Office, Microsoft Teams, etc.

  • Excellent time and project management skills with a demonstrated ability to work under pressure, meet deadlines and adapt to shifting priorities

  • Available to travel (30%) and work at event venues past normal work hours as required

  • Valid driver's license, valid passport and access to a vehicle is an asset

  • Creative, innovative and solution-oriented; can support an events strategy with original, stand-out ideas to maximize engagement internally and externally

  • For candidates located in Quebec, bilingualism is required considering the necessity to interact on a regular basis with English-speaking colleagues across the country

  • No Canadian work experience required but must have authorization to work in Canada
