Look no further than Regina's coolest independent hotel (hint: it's us). We're on the hunt for an Administrator to support our busy Front Desk Management team.


We take pride in delivering exceptional guest experiences and maintaining smooth hotel operations and the Front Desk is an essential part of doing so. While this area of the hotel functions 24 hours a day, 7 days a week, 365 days a year, never fear, you don't need to live here to be successful in this role. This position is intended to support the Management and team of this department and as such will be working on our less operationally focused days; Monday - Friday for full 8 hour daytime shifts.


Your responsibilities would include but not be limited to:

  • Managing guest arrivals, addressing VIP needs, special events, and flagged reservations.
  • Reviewing room assignments and ensure no conflicts including following up on out-of-order and out-of-service rooms.
  • Reporting for client or guest incidents, checking reports for guest concerns, drafting emails, trackng complaints, and maintaining logs.
  • Drafting guest and internal communications on behalf of the hotel or Front Desk leadershpi team.
  • Prepare and post staff schedules as well as coordinating scheduling adjustments based on occupancy levels.
  • Maintaining Front Desk inventory, restocking supplies, and coordinating vendor refunds.
  • Assisting with administrative tasks like proofreading, calendar management, and guest mail.
  • Conducting initial investigations by gathering relevant data, reviewing records, and tracking operations ticket history.
  • Providing organizational support to Front Office leadership, maintaining storage areas, and offices.
  • Overseeing emails and acting as a first point of contact for phone calls.
  • Taking meeting minutes and documenting to do's, deadlines, and following up to ensure adherance to these.


Qualifications:

  • Proven experience as an office administrator, office assistant or supporting role.
  • Outstanding communication and interpersonal abilities.
  • A proficiency for proper grammar, spelling and command of the English language both spoken and written is essential.
  • Excellent organizational and time management skills.
  • Excellent knowledge of MS Office.
  • Certification in office administration or a relevant field is preferred.
  • Previous experience at the Front Desk of a hotel and familiarity with Opera are beneficial but not required.
